When an AI conversation becomes difficult to continue, move the project with a small handover and the actual working files. The aim is to let a fresh conversation perform the next useful task from a clear starting point. A good handover answers three immediate questions: what has been accepted, what remains uncertain, and what should happen next?
OpenAI says ChatGPT Memory does not retain every detail and selects relevant information from available sources. Exact wording, file versions and unfinished decisions therefore deserve an explicit record. The walkthrough below is based on current documentation and our own fictional project; it is not a signed-in migration test.[1]
Ask for the current state while the old chat still works
Start with this request: “Prepare a handover for a new conversation. State the objective, current deliverables, exact filenames, decisions I accepted, superseded choices, unfinished work and the next action. Separate completed work from proposed work. Name anything you cannot verify. Use enough detail to continue, but leave out discarded drafts and repeated discussion.”
OpenAI’s prompting guidance recommends specific instructions, relevant context and refinement after reviewing the response. Here, the review has a concrete purpose: compare the handover with your latest accepted file and the decisions you remember making. Add a missing instruction before transferring it.[2]
If the old conversation cannot produce another answer, write the same fields yourself using the accepted files and visible messages. Mark missing information as unknown. You can still continue a well-defined part of the project while recovering the rest.
A complete example to copy and adapt
Imagine you have been preparing a two-page welcome leaflet for a fictional neighbourhood repair café. Version 3 has been accepted for wording, but it still needs a short arrival section. The venue booking is unresolved. The following is the complete project brief you would carry into the new chat.
Handover: Riverside repair café leaflet
| Field | Current instruction |
|---|---|
| Objective | Finish a two-page welcome leaflet for first-time visitors. Use clear, friendly British English. |
| Working file | Riverside-leaflet-v3.docx is the accepted starting version. Attach that file. The introduction and repair-policy sections are approved. |
| Accepted decisions | Public opening hours: 10am–1pm. Entry is free; donations are optional. Visitors bring one portable item and stay while it is assessed. Repairs are not guaranteed. |
| Superseded choice | Version 2’s 9am start was a proposal and must not return. |
| Unresolved point | Venue booking and address are unconfirmed. Keep “Venue to be confirmed”; do not invent an address. |
| Next task | Add a 60–90-word “When you arrive” section. Keep the approved sections unchanged and keep the complete leaflet within two pages. |
| Completion check | Compare the revised document with version 3, identify the added section, confirm the displayed hours and explain which layout checks were actually performed. |
Keep an editable copy of that brief. Put its date and version at the top, for example “Handover 1 — 12 October 2026”. A later amendment can then replace a particular decision without leaving two equally plausible starting points.
Attach the work, then check understanding
Start a new ChatGPT conversation. Paste the handover and attach the named document, or paste its accepted text if you only need wording. ChatGPT supports DOCX, PDF and TXT uploads on Free and paid plans, subject to account settings and limits on web and supported mobile apps. Ask it to read the supplied file before revising it.[3]
Send this first instruction: “Before editing, identify the file you can access, state the current opening hours and donation policy, name the unresolved decision, and quote the sentence that makes the starting version authoritative. Report any contradiction between the brief and the file. Wait for my correction if one exists.”
The expected answers in this example are version 3, 10am–1pm, optional donations and an unconfirmed venue. If the reply says 9am or supplies an address, the handover has exposed a problem before a new leaflet is created. If it cannot access the document, attach it again or provide the text; a filename alone supplies no content.
Once those answers are correct, request the arrival section. Our original example reads: “When you arrive, a volunteer will welcome you and ask what has happened to your item. Please bring one portable item and stay with us while we assess it. We will explain what we can investigate and discuss any next steps with you. A repair is not guaranteed. Entry is free, and donations are optional. Please check the confirmed venue details before travelling.”
That paragraph develops the visitor’s experience without deciding the venue. Review it alongside the approved policy, then ask for the complete revised file as version 4. Save the new file and update the brief to name it as the accepted starting point.
Use a full export when you need the archive
For an eligible personal account, Settings → Data controls → Export data requests a wider account copy. OpenAI says preparation can take up to seven days and the download link expires after 24 hours. Download it while signed in to the requesting account. Business, Enterprise and Healthcare workspaces do not offer this self-service export.[4]
The exported conversation JSON can be uploaded as reference where supported. OpenAI’s transfer guidance explicitly distinguishes that from recreating the old chats in another account or transferring memories, settings and subscriptions. An archive helps recover evidence; the brief still needs to identify which parts govern the work now.[5]
Finish each substantial work session by updating the accepted filename, decisions and next action. The next handover can then begin from a short record you have already checked, with the unfinished work ready to pick up.
