Turn school notices into a useful calendar with Gemini

A trip date, a consent deadline and a booked appointment slot need different treatment. This practical guide turns a fictional set of school notices into five checked calendar entries, while preserving the exceptions and unresolved details.

A school notice may contain a trip date, an earlier consent deadline, several club sessions and a performance whose time is still undecided. Gemini can turn supplied event details into Google Calendar entries. The useful job is to preserve what each date means before anything is added.[1]

This guide uses the Gemini app with Google Calendar, following documentation checked on 12 October 2026. The school notices below are fictional, and the expected dates have been calculated separately. They are a practice exercise, not the result of a signed-in Gemini test or a real school schedule.

Choose the calendar and connect the account

Google lists its Workspace connection for personal, work and school accounts on the Gemini web and mobile apps. The instructions here assume an adult using their own account. A work or school administrator can control whether the connection is available.[3]

Sign in to Gemini with the account that owns your calendar. Connecting Google Workspace requires Keep Activity to be on; Google also says Smart features in other Google products must be enabled in Gmail settings. When you explicitly ask Gemini to use Calendar, it can offer the connection steps if needed.[2]

You can use an existing calendar or first create one called School dates. To make a new calendar, use Google Calendar in a computer browser: beside Other calendars, choose the plus button → Create new calendar, then give it a name. It subsequently appears in the mobile app.[5]

Gemini uses your default calendar unless you name another one, and current help supports secondary and shared calendars. Specify School dates in the request if that is your chosen destination. Keep the exact name visible in your working notes when several calendars look similar.[1]

Supply a small set of readable notices

In the Gemini iPhone app, tap Add files and choose Photos for a picture or Files for a document. More Uploads may reveal options that are initially hidden. You can also paste the relevant text. Use only the notices needed for this task, with dates and any small-print exceptions clearly readable.[4]

Uploading a photograph directly is different from asking the Workspace connection to inspect a picture inside an email. Google says that connection cannot access images in Gmail or Docs. If the schedule is an attached picture, supply the actual picture through the upload route.[2]

For our practice exercise, imagine four notices. Art club runs on Wednesdays in November 2026 from 15:45 to 16:30, except 18 November. A parents’ evening runs on 12 November from 16:00 to 19:30, but your confirmed slot is 17:20–17:30. A museum trip on 17 November requires arrival at school at 08:15; the coach departs at 08:30 and returns at 15:10. Consent is due by 6 November. A winter performance has no confirmed date or time.

Read that proposed schedule against the notices. A date labelled next Thursday needs the notice’s own date to interpret it. If the printed weekday and calendar date disagree, keep the conflict visible and ask the organiser. A guessed date becomes harder to notice once it sits neatly among real commitments.

Add the agreed events, then inspect them

For a first attempt, add one approved event, open its returned Calendar link and check it. A useful original instruction is: @Google Calendar, create Parent appointment in School dates on 12 November 2026, 17:20–17:30 Europe/London. Then add the remaining approved entries. Inspect the saved calendar and count the five timed occurrences before trying the exercise with more notices.

Gemini cannot currently invite people to an event or add or update the location and description of an existing one. Open the event in Google Calendar to finish those details. If a creation was wrong, the response may offer Undo; the linked event also provides a direct place to inspect the change.[1]

On iPhone, open an event and tap Edit to change its details, then save. Confirm that the museum entry describes the pupil’s schedule: its long interval does not mean a parent must remain at school all day. You might prefer separate drop-off and collection entries; decide that from your responsibility, keeping the source’s times unchanged.[6]

Handle repeated sessions and time zones deliberately

Three individual club events are easy to inspect. For a longer regular series, Google Calendar supports repeating events: on iPhone, use More options → Does not repeat when creating or editing one. The computer controls also specify when repetition ends. When changing a series, choose whether the edit affects one occurrence or following events.[7]

Write the exception into your instructions, then inspect that actual date in the calendar. A weekly series with no end can silently outlive a school term. In our example, 18 November should remain empty of art club and the last November session should be 25 November. Keeping those two checks beside the notice is more useful than merely counting a repeated-event label.

Use the event’s real local time zone. Google Calendar displays events in the viewer’s local zone, which can change when travelling. For a London school notice, specify Europe/London; an online activity organised abroad may need another zone. The web event editor has a Time zone control beside the event’s time.[8]

Make the reminder useful to the person who needs it

Set a notification after the event exists. On iPhone, open it → Edit → Notifications, then add or change a notification and Save. Shared-calendar access does not give everyone identical reminders: Google says notification settings belong to each user. Another family member should set the alerts they need for their own responsibilities.[9]

For the museum trip, a previous-evening reminder could help with packing, while a separate departure reminder depends on your journey to school. These are planning choices, not times supplied by the notice. Keep them labelled that way. Finish with a calendar whose events reflect the documents and a short list of the decisions still yours to make.
